Terms & Conditions
Last updated: August 15, 2026
1. Introduction
AXKEY Limited (“AXKEY”, “we”, “us”, or “our”) is a UK-based luxury travel company specialising in bespoke and tailor-made journeys across Asia, Amazonia, and other selected destinations.
We design and arrange personalised travel experiences, including accommodation, transportation, private guides, exclusive experiences, activities, and other travel services through carefully selected third-party suppliers and partners.
By submitting an enquiry, paying a deposit, making a booking, or otherwise purchasing a journey through AXKEY, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
These Terms form the legal framework governing the relationship between you and AXKEY Limited. We recommend that you read them carefully before making a booking.
2. Bespoke Travel Enquiries
AXKEY specialises in tailor-made journeys designed around each client’s preferences, requirements, dates, and budget.
A bespoke journey begins with an initial consultation and itinerary development process. Following this consultation, AXKEY may prepare a proposed itinerary and quotation based on the information provided by the client.
A quotation does not constitute a confirmed booking until the applicable deposit has been received and AXKEY has confirmed the booking in writing.
3. Bespoke Journey Design Deposit
For a bespoke or tailor-made journey, AXKEY may require a £500 journey design deposit before commencing detailed itinerary development and reservation work.
The £500 deposit secures the bespoke planning process and allows AXKEY to begin researching, designing, and coordinating the proposed journey.
Unless otherwise stated in writing, this deposit is non-refundable once AXKEY has commenced substantial work on the bespoke journey.
The £500 deposit is separate from the travel booking deposit described below and does not by itself confirm or secure the final travel arrangements.
4. Booking and Payment
Once the final itinerary and quotation have been approved by the client, the journey may be confirmed subject to payment of the required booking deposit.
Unless otherwise agreed in writing:
- 50% of the total journey price is payable in advance to confirm the booking.
- The remaining 50% is payable no later than 90 days before the scheduled departure date.
A booking is not considered fully confirmed until the required initial payment has been received and AXKEY has confirmed the booking.
Certain suppliers, destinations, accommodations, or experiences may require different payment schedules or stricter payment conditions. Where applicable, these conditions will be communicated to the client before confirmation.
5. Prices and Quotations
All prices provided by AXKEY are based on the itinerary, services, dates, number of travellers, and suppliers specified in the quotation.
Prices may change before confirmation due to supplier availability, currency fluctuations, changes in taxes or fees, transportation costs, accommodation rates, or other circumstances outside AXKEY’s control.
Once a booking has been confirmed, any applicable price changes will be handled in accordance with the terms communicated to the client and applicable law.
Unless expressly stated otherwise, quotations do not include personal expenses, travel insurance, visas, vaccinations, or other items not specifically listed in the itinerary.
6. Third-Party Suppliers
AXKEY works with independent third-party suppliers, which may include hotels, airlines, private aviation operators, transportation companies, guides, local partners, restaurants, activity providers, and other travel service providers.
AXKEY will use reasonable care in selecting and coordinating such suppliers. However, the services themselves may be subject to the individual terms and conditions of the relevant supplier.
Where appropriate, clients may be required to accept the terms, conditions, cancellation policies, or other requirements of individual suppliers.
7. Client Responsibilities
Clients are responsible for providing AXKEY with accurate and complete information necessary to arrange their journey.
This may include:
- Full legal names and passport details
- Travel dates
- Nationality and visa requirements
- Dietary requirements
- Medical or accessibility requirements relevant to the arrangements
- Special requests or preferences
- Any other information reasonably required to organise the journey
Clients are responsible for ensuring that their passports, visas, permits, vaccinations, travel documents, and other required documentation are valid and obtained before departure.
8. Changes to a Journey
AXKEY understands that travel plans may need to change.
Requests to modify a confirmed itinerary will be considered subject to availability and the terms imposed by the relevant suppliers.
Additional costs arising from requested changes may be charged to the client, including supplier amendment fees, cancellation charges, transportation costs, accommodation differences, or other expenses.
AXKEY will communicate any material additional costs before proceeding where reasonably possible.
9. Cancellation by the Client
Cancellation terms depend on the nature of the journey and the individual suppliers involved.
Unless otherwise specified in writing, the following payment structure applies:
- The £500 bespoke journey design deposit is non-refundable once itinerary design work has commenced.
- The 50% booking payment may be subject to cancellation charges imposed by suppliers.
- Cancellation 90 days or less before departure may result in significant cancellation charges and, depending on supplier conditions, may result in the loss of some or all amounts paid.
- Certain services may be non-refundable from the moment they are confirmed.
The specific cancellation conditions applicable to a confirmed journey will be communicated to the client where applicable.
10. Cancellation or Changes by AXKEY
AXKEY reserves the right, where reasonably necessary, to modify elements of an itinerary due to circumstances including supplier availability, operational requirements, weather, safety concerns, government restrictions, natural events, or other circumstances beyond its reasonable control.
Where a significant change is required, AXKEY will seek to provide a suitable alternative where reasonably possible.
11. Force Majeure
AXKEY shall not be responsible for circumstances beyond its reasonable control, including but not limited to natural disasters, extreme weather, epidemics or pandemics, war, terrorism, civil unrest, government restrictions, border closures, strikes, transportation disruption, supplier failure, or other extraordinary events.
In such circumstances, AXKEY will use reasonable efforts to assist clients and find appropriate alternatives, subject to availability and the terms imposed by relevant suppliers.
Additional costs resulting from such circumstances may be payable by the client unless otherwise required by applicable law.
12. Travel Insurance
AXKEY strongly recommends that all clients obtain comprehensive travel insurance appropriate to the nature of their journey.
Travel insurance should, where appropriate, cover cancellation, medical expenses, emergency assistance, repatriation, baggage, travel disruption, and other risks relevant to the itinerary.
Clients remain responsible for ensuring that their insurance provides adequate coverage for their individual circumstances and activities.
13. Passports, Visas and Entry Requirements
Clients are responsible for ensuring that they hold valid passports and any visas, permits, entry authorisations, health documents, or other documentation required for their journey.
AXKEY may provide general guidance regarding travel requirements, but requirements can change and clients should verify the latest requirements with the relevant authorities before departure.
14. Health, Safety and Activities
Some AXKEY journeys may include remote locations, adventure activities, trekking, wildlife encounters, water-based activities, or other experiences involving inherent risks.
Clients are responsible for informing AXKEY of any relevant requirements or limitations that may affect their ability to participate safely.
AXKEY may recommend alternative arrangements where appropriate, but clients remain responsible for following reasonable safety instructions provided by guides, operators, or local authorities.
15. Liability
AXKEY will exercise reasonable care and skill in providing its services and coordinating the travel arrangements included within a confirmed itinerary.
However, AXKEY is not responsible for losses, delays, cancellations, injuries, damages, or expenses arising from the acts or omissions of independent third-party suppliers, or from circumstances beyond AXKEY’s reasonable control, except where liability cannot lawfully be excluded or limited.
Nothing in these Terms excludes or limits any liability that cannot legally be excluded or limited under applicable law.
16. Complaints
If a client experiences an issue during their journey, they should notify AXKEY or the relevant service provider as soon as reasonably possible so that an opportunity can be provided to resolve the matter.
Where appropriate, AXKEY will work with the relevant supplier to seek a reasonable solution.
17. Personal Information
AXKEY handles personal information in accordance with its Privacy Policy and applicable data protection legislation.
Personal information may be shared with relevant suppliers where necessary to arrange and deliver the services included in a client’s journey.
18. Website and Intellectual Property
The content published on the AXKEY website, including text, photography, branding, graphics, itineraries, concepts, and other materials, is owned by or licensed to AXKEY Limited unless otherwise stated.
Such materials may not be reproduced, copied, distributed, or commercially used without prior written permission.
19. Governing Law
These Terms & Conditions are governed by the laws of England and Wales, unless applicable mandatory law provides otherwise.
Any disputes arising in connection with these Terms shall be subject to the jurisdiction of the courts of England and Wales, subject to any mandatory rights available to consumers under applicable law.
20. Changes to These Terms
AXKEY Limited may update these Terms & Conditions from time to time to reflect changes to its services, business practices, suppliers, or applicable legislation.
The version applicable to a confirmed booking will be the version provided to or accepted by the client at the time of booking, subject to applicable law.
